Finding Documents

All of the bakery’s documents are now in one place, and each one carries its category and metadata. That is what makes them easy to find again.

Everyone has the same access to the Rosewood Bakery cabinet, so the examples below show Ella’s view, but Clara and Martin get the same results. All searches start on the Documents page: pick a set of filters, and the list shows the matching documents. See Search.

The food safety inspector asks for the pest control reports. R. Patel, the pest control technician, checked all of them, so Ella uses these filters:

  • Category: Hygiene Record
  • Metadata → Checked By: R Patel

Once the category is set to Hygiene Record, the column selector and the Metadata filter offer only the metadata of hygiene records:

Next, Ella wants all hygiene records that mention flour and are dated after 1 May 2026:

  • Category: Hygiene Record
  • Free Text: flour
  • Metadata → Record Date: > 01.05.2026

Ella wants all supplier invoices dated from 1 March to 1 August 2026:

  • Category: Supplier Invoice
  • Metadata → Invoice Date: >= 01.03.2026
  • Metadata → Invoice Date: <= 01.08.2026

Then she looks for the customer invoice with the largest total in the same period:

  • Category: Customer Invoice
  • Metadata → Invoice Date: >= 01.03.2026
  • Metadata → Invoice Date: <= 01.08.2026

She clicks the Total Amount column header to sort the results by amount:

Next: Year-End Clean-Up.
