Filing Documents
Everyone on the team can upload documents. Where documents go was decided during planning and setup, so nobody has to pick a folder or a cabinet. The only decision left is the category.
By convention, everyone uploads into their own Inbox, where only they can see the document. When you choose its category, Papermerge moves the document into the Rosewood Bakery cabinet. This changes who can see the document, so Papermerge first asks you to confirm the move, and shows who gains or loses access.
- Upload the document into your own Inbox.
- Open it and choose its category.
- Confirm the move to the Rosewood Bakery cabinet. Tick Remember my decision to skip this question next time.
- Fill in the metadata.
- Click Archive.
The category decides the rest: Papermerge files the document into the right
folder of the cabinet, for example Customer Invoice/.
Archiving locks the document: its content and metadata can no longer change, and Papermerge calculates when its retention period ends. See Document Lifecycle.
Here is how Clara files a customer invoice:
And here is how Martin files a hygiene record:
While filing, Martin notices reports signed by two outside inspectors, R. Patel and J. Morgan, who are not options in Checked By yet. He opens the Metadata page, edits Checked By, adds both names, and continues filing:
